How To Publish Your Exchange Calendar

Unlike traditional inter-office calendar sharing with other users in your company, you cannot "share" your calendar in the same way with someone not on Exchange or someone who may be on Exchange but not within your organization.

In cases like this where you need to reveal your calendar, you will need to publish it and send the user the link so it may be viewed as a web page.

Publishing Your Calendar

1. Log in to your Outlook Web App (OWA) and navigate to the calendar.

2. Right-click on the calendar and select Share, then Publish This Calendar to the Internet...

 

3. Choose the desired options and then click Start Publishing.

4. After you click Start Publishing, you can copy the URLs for your calendar from Calendar Links. Calendar Links are links that you can send to people so they can view your calendar.

  • People can use Link for subscribing to this calendar to add your calendar to any application that supports linking to published calendars.
  • Link for viewing calendar in a Web browser lets people go directly to your published calendar from a Web browser.
  • Use Copy links to the Clipboard to copy both links to the Clipboard on your computer. You can then past eh links into an email message to send to people you want to view your calendar.
Please review the following details from Microsoft regarding the restrictions for each option:
Under Publishing Detail, select how much information you want to share:
  • Availability Only - Shares only free/busy information.
  • Limited Details - Shows the subject of meetings.
  • Full Details - Shows all information
  • Under Publish my calendar, select the length of time that you want to publish. Publishing will start on the current date.
  • Under Access level, select how much access you want people to have.
  • Restricted prevents people from searching for your calendar on the Internet. Anyonw who wants to see your calendar will have to obtain the URL from you or from someone you've given it to.

 

NOTE: Calendar entries marked as private will display only free/busy information, no matter what permissions you've given.


Stop Calendar Publication

1. Click Share and then select Change Published Settings.

2. Click Stop Publishing.
